Privacy and your data
What ActiValet can see, what it keeps, and who can see it.
Which mailboxes ActiValet can open
Only the mailboxes your company's Exchange administrator approved by name. Microsoft refuses ActiValet on every other mailbox, and that's checked before any mailbox is switched on.
What it keeps
- For each message it handles: the sender, subject, time received, the folder it went to, and why. This is what the Action log shows, and what Undo needs.
- Your settings, rules, and the description of your writing style if you made one.
- A record of changes to settings, rules and access, and who made them.
It never keeps message text or attachments. They're read from Microsoft 365 when needed and then discarded. Reply drafts exist only in your own Drafts folder.
What goes to the AI
- To sort a message: its sender, subject and a short preview.
- To write a reply draft: the message you're replying to.
- To describe your writing style: only the sent emails you picked.
ActiValet uses Anthropic's Claude models for this. The text is processed to produce the result and isn't stored by ActiValet.
Who can see what
- You see your own mailbox's activity.
- Your company's ActiValet admins can change your settings and VIPs.
- Your IT provider sees your mailbox address, first name, time zone, digest time and whether ActiValet is on for it, plus usage counts. Neither your IT provider nor ActiValet's own staff see your mail or what ActiValet did with it.
- Other companies' data is kept apart by the database itself, not only by the app.
Where your data is processed
- Your mail stays in your company's Microsoft 365.
- ActiValet's records are kept in a database in the United States (AWS us-east-1), and the app runs in the United States (US East).
- The AI is Anthropic's Claude, in the United States.
- The morning digest is sent by an email delivery service in the United States. It carries sender domains and subjects, with amounts removed.
Stopping ActiValet
To stop ActiValet working on your mailbox, ask your ActiValet administrator. You can turn off any rule yourself on Rules, turn off drafting on Voice & drafts, and undo past changes from the Action log.
