Getting started
From your first sign-in to ActiValet looking after your Inbox, in about a week.
1. Your mailbox is added
Your ActiValet administrator, usually your company's IT provider, adds your mailbox and starts it in Preview. In Preview, ActiValet reads new mail and notes what it would do, but changes nothing in your mailbox.
2. Sign in
- Open ActiValet and choose Sign in with Microsoft.
- Use your work Microsoft account, the one your mailbox belongs to.
- The first time, Microsoft may ask you to allow ActiValet to sign you in and read your basic profile. That permission is only for signing in; access to your mailbox was set up by your administrator.
If ActiValet shows no mailbox after you sign in, your mailbox hasn't been added yet, or you signed in with a different account. Contact your administrator.
3. Watch Preview for a few days
ActiValet checks your Inbox every 10 minutes. Within a day, Today and Review show what it would do with your mail. Nothing moves yet, so this is the time to check its judgment.
- Open Review and read why each message would be filed or kept.
- If a VIP of yours is missing, ask your administrator to add them. VIPs are set for the whole company.
4. Set up your Settings
- Your first name, for the digest's greeting.
- Your time zone and the time you want your digest.
- Your filing folders: the folders ActiValet may file into. Add or rename them to match how you work.
- Your newsletter folders: which of those folders hold newsletters.
5. Switch to live
When you're happy with the suggestions, choose Switch to live on Today. Only you or your company's ActiValet admin can do this; your IT provider can't. It works once ActiValet has made at least one suggestion.
In live, ActiValet acts on your rules and gathers duplicate copies into a Duplicates folder. Its other suggestions keep waiting for you in Review.
6. Teach it with rules
When a suggestion is right, choose Always do this on Review. ActiValet shows which recent messages the rule would have caught, and files that sender's new mail automatically from then on. A few rules for your most frequent senders clear most of the clutter.
7. Optional: reply drafts
On Voice & drafts, pick some emails you've sent. ActiValet describes how you write, and once you approve that description and turn drafting on, it drafts replies to mail that expects one. Drafts are tagged AI Draft in your Drafts folder and are never sent for you. Drafting starts once your mailbox is live, not during Preview.
Your first week
- Read your morning digest. It lists what needs you and what was handled.
- Glance at the Action log now and then. If something was filed that shouldn't be, Undo puts it back.
- Turn off a rule that misfires from Rules.
- Questions or something unexpected: contact your administrator.
